Haleon China Candidate Privacy Notice

Thank you for your interest in Haleon. We understand that privacy is very important to you. We are committed to processing your personal information with care and integrity.

This “Haleon China Candidate Privacy Notice” (hereinafter referred to as the “Privacy Notice” or “Notice”) applies to candidates of the following legal entities and their branches (collectively “Haleon China”), meaning individuals who are applying for positions recruited by Haleon China but have not yet formally joined:

  • Haleon (China) Co., Ltd. and its branches within the People’s Republic of China
  • Haleon (Suzhou) Pharmaceutical Co., Ltd. and its branches within the People’s Republic of China
  • Sino-American Tianjin SmithKline & French Laboratories Ltd. and its branches within the People’s Republic of China
  • Affiliated companies (including Haleon (Taizhou) Medical Technology Co., Ltd., Haleon (Suzhou) Medical Technology Co., Ltd., Guangdong Qianlin Health Industry Co., Ltd.)

When the legal entities (and their branches) of Haleon China undergo establishment, merger, or division according to Chinese laws and business development, the scope of this Notice will be updated accordingly; however, any changes to the names of the legal entities (and their branches) shall not affect the validity or scope of this Notice.

Our Privacy Notice explains what personal information we collect and how we collect it. We explain the purposes for which we use your personal information during recruitment and pre-employment screening. We also explain how we protect your personal information and ensure its security.

Haleon is responsible for the personal information you share with us. When we say “Haleon”, “we”, “us”, or “our”, we are referring to this company.

What Is Personal Information?

Personal information refers to all kinds of information, recorded electronically or otherwise, that is related to an identified or identifiable natural person, excluding information that has been anonymized. Sensitive personal information is personal information that, if leaked or illegally used, could easily infringe upon the dignity of a natural person or endanger their personal or property safety, including biometric, religious belief, specific identity, medical health, financial account, location tracking, and information of minors under the age of fourteen.

As part of our recruitment and pre-employment screening, we will collect the following personal information about you (items underlined and in bold are sensitive personal information). Sensitive personal information, if leaked or illegally used, may affect your personal rights and interests, such as infringing on your dignity or endangering your personal or property safety. We are committed to keeping your personal information strictly confidential and, in accordance with national laws and regulations, adopting measures to protect the security of personal information, such as encryption, anonymization, de-identification, and access controls:

  • Basic personal details: Name, commonly used name, nationality, phone number, email address, gender, age, date of birth, home address, postal code, language and skills
  • Online identity information: Account password
  • Property information: Salary statements and transfer records for the past 6-24 months, tax/social security records
  • Education and work information: Position, job level, work location, employment date, contract term, salary, company name, employment start and end dates, work experience, educational institution, degree, diploma, degree certificate, enrollment date, graduation date, education type, major, education level, degree conferment date
  • Identity information: ID number, passport number, copy of ID, information on specific identity and disabilities, personal photo, work and residence permit (for foreign nationals only)
  • Health and physiological information: Medical examination report (for factory roles only), health certificate (for factory roles only)
  • Other information: Answers to application stage questions, other job-related personal information you provide

If we ask you to provide special categories of information, you may decide whether to provide it. If you decide not to share such information, please be assured this will not affect your application.

When we ask you to provide other types of personal information, you may also choose not to provide it. However, if you decide not to provide your personal information, we may not be able to assess or consider your application.

If you provide us with someone else’s personal information, such as your spouse or referee, please make sure you have obtained their separate consent before disclosing their information to us.

 

We will collect your information directly when you:

  • Create an account and profile on the Haleon employment portal
  • Share or use your social media profile to access the Haleon employment portal
  • Sign up to receive public job advertisements
  • Share your resume with us via the Haleon employment portal or other means
  • Participate in interviews, assessments, or recruitment exercises

We also collect information from other sources:

  • Recruitment agencies
  • Third-party recruitment websites
  • Companies conducting pre-employment screening for us
  • Your colleagues and/or managers (when they provide references)

We will collect information from public sources:

  • If permitted by law, we will collect your personal information from public sources. We may use such sources to verify your license or complete any checks required to comply with relevant laws.

 

We will only use your personal information for the purposes described in this Privacy Notice or for purposes reasonably compatible with those described. We cannot and will not use it for other purposes without your permission, unless we have a legal right or obligation to do so.

Considering Your Application

We will use your personal information for the following purposes:

  • Responding to your application. If someone else refers you to us or we obtain your information from other sources, we will use your personal information to contact you and inform you about our recruitment process
  • Creating a profile for you
  • Assessing your profile’s suitability for the position you applied for
  • Evaluating all candidates and creating a shortlist
  • Conducting interviews and assessments during the recruitment process

Conducting Pre-Employment Screening (if we decide to hire you)

We will use your personal information to:

  • Verify your background, references, and other information, as permitted by law. We will share your personal information with companies conducting these checks for us
  • Conduct occupational health checks (if applicable)
  • Prepare employment offers and other documents used in the pre-contract stage of the recruitment process

Including You in the Haleon Talent Pool (based on your additional consent)

We will use your personal information to:

  • Consider your eligibility for current or future job opportunities at any Haleon company or affiliate. This means your information will be shared with other Haleon entities
  • Inform you about job opportunities or ask you to update your profile

Managing and Improving Our Recruitment Process and Related Business Operations

We will use your personal information to:

  • Manage the security of our networks and information systems
  • Maintain records related to the recruitment process
  • Measure our recruitment process to ensure compliance with fair employment practices
  • Prepare and execute management reports and analytics related to the recruitment process, including analysis and metrics

Other Purposes

We will use your personal information to:

  • Comply with applicable laws and regulations.
  • Respond to requests from competent public authorities.
  • Inform you of changes to our terms, conditions, and policies.
  • Exercise potential, threatened, or actual legal claims or protect Haleon from such claims.
  • Protect the vital interests of Haleon, yourself, or others.
  • Provide work-related accommodation or health and insurance benefits for you and your family.
  • Assess Haleon’s progress in achieving diversity recruitment goals for equal opportunity monitoring and reporting.
  • Respond to and address your inquiries or requests.
  • When we sell, transfer, or assign all or part of our business.

 

We may collect and use your personal information when one of the following applies:

  • Obtaining your personal consent (“Personal Consent”).
  • As necessary for entering or performing a contract to which you are a party (“Contractual Basis”).
  • It is necessary for fulfilling statutory duties or legal obligations, such as employment, social security, occupational health, etc. (“Legal Obligation Basis”).
  • When such permission (legally called “consent”) is required, you have explicitly given us your consent. You may withdraw your consent at any time.
  • As necessary to respond to public health emergencies or to protect the life, health, and property safety of natural persons in emergencies.
  • Other circumstances as stipulated by Chinese law.

 

We will only retain your personal information for as long as necessary to complete the recruitment and pre-employment screening activities explained in this Privacy Notice. Once these activities are completed, we may need to retain your personal information for a longer period to respond to legal claims or investigations involving Haleon. We will retain your personal information only for the period necessary for the purposes stated in this Notice and as required by laws, regulations, and supervisory requirements. We will retain your personal information in accordance with the time limits stipulated by applicable data protection laws. After the statutory retention period, we will promptly delete or anonymize your personal information.

If we offer you a job and you decide to accept, we will send you our Employee Privacy Notice, which explains how we use, store, and protect employee personal information.

 

We share your personal information on a need-to-know basis and only to the extent necessary to manage and conduct activities related to the recruitment process, in accordance with laws and regulations.

We may share your personal information with teams within our Haleon companies and affiliates.

Recruitment and pre-employment screening activities for dispatched hires are conducted by professional service providers on our behalf. We will share your personal information with their employees and teams so they can carry out their work.

We may also share your personal information with other professional service providers, such as:

  • Event organizers and travel agencies.
  • Technology providers who help us develop and improve our digital forums and applications.
  • Professional advisors such as auditors, accountants, and lawyers.

If required by law, we will also share your personal information with local regulatory authorities or government and law enforcement agencies.

 

Haleon China is a multinational company, and Haleon UK Services Limited is the overseas recipient of cross-border data transfers. To achieve unified recruitment processes and standards for the multinational group, optimize human resource structure, perform routine business management and operations, execute HR management, fulfill legal obligations, and improve internal talent management efficiency, your personal information may be transferred outside of Mainland China or accessed from overseas jurisdictions when we or you use relevant systems.

When we transfer your personal information outside of Mainland China, we will comply with the requirements of relevant laws and regulations to safeguard your personal information, including security assessments organized by national cybersecurity authorities, personal information protection certification, and signing standard contracts with overseas recipients as specified by national cybersecurity authorities, to ensure your personal information is protected at the same level as under Chinese data protection laws. We want to make sure that your personal information is not shared with or used by unauthorized people. We use a variety of security measures and technologies to protect your personal information.

We carefully select service providers and check whether they have security measures and technologies in place to protect your personal information. We do not allow our service providers and suppliers to use your personal information for their own purposes.

 

You have rights that we are required to inform you of. The rights you own depend on the reason we process your personal information and local laws in Mainland China. Based on this, you may have the following rights:

  • Request a copy of your personal information from us (with some exceptions, you may not always receive all the information we process).
  • Request that we correct information you believe is inaccurate. You also have the right to ask us to update information you believe is incomplete.
  • Request account deletion.
  • Request withdrawal of consent or authorization.
  • Request deletion of your personal information.
  • Request we restrict processing of your information.
  • Object to our processing of your personal information.
  • Request we transfer the information you provided to us to another organization or provide it to you.
  • Request explanation and clarification of this Privacy Notice.
  • Complaint to the local data protection authority.

To protect your privacy and others’, we may need to verify your identity before completing your request.

If, after initially providing your personal information to us, you object to or withdraw your consent for us to use your personal information, we will respect your choice in accordance with applicable laws. However, if you object or withdraw your consent, we may not be able to complete the recruitment and pre-employment screening activities described in “How We Use Your Personal Information.”

 

Our employment portal may contain links to websites or mobile applications that we do not own or control. Our Privacy Notice does not cover these. If you want to know how those websites and mobile applications collect, use, and share your personal information, please read the privacy notice on those websites and mobile applications.

 

We may only use the personal information of minors who have reached the age of 14 for internship positions.

If you live in Mainland China and apply for an internship, you represent that you are at least 14 years old and can provide your personal information and participate in the recruitment process without parental consent.

 

We will update this Privacy Notice from time to time. Any changes will take effect when we publish the revised Privacy Notice on our employment portal. The last update date of this Privacy Notice is the date listed above as “Updated.” If there are significant changes, we will provide prominent notice to let you know about them.
